I finally stopped rebuying software licenses after an audit scare
Our ops team got hit with a surprise audit last quarter after running on guesswork for too long. We found 34 unused seats on one tool we paid for yearly, roughly $9,200 flushed down the drain. Turns out we never tracked who actually logged in, we just renewed based on headcount. Now we run a simple usage report every 3 months, and I'm wondering how many other small shops are sitting on the same trap. Has anyone else built a low effort license check that actually stuck?

Ugh that audit scare sounds brutal, but honestly good on you for catching it before it got worse. My last place had the same thing happen with a project management tool, we were paying for like 60 seats and only 22 people ever opened it in a month. We just had the admin pull a login report and set a reminder on a shared calendar every quarter, took maybe 20 minutes each time. The hard part was getting the finance guy to stop renewing on autopilot, but once he saw the numbers he got on board pretty fast.
